Centre Administrator

Job Purpose

To provide administrative and operational support to the Centre Manager and Operations Manager who have day-to-day responsibility for the management and operation of a portfolio of retail properties.

Key Objectives

  • Assist the Management team with administration support
  • Assist the Management team with operational support
  • Act as a point of contact for stakeholders including, but not limited to, retail occupiers, colleagues, site service provider teams, service providers and any other stakeholders within the communities that the properties reside in.

Key Accountabilities


  • Raise purchase orders for works approved by the Centre Manager and Operations Manager in a timely manner.
  • Process invoices approved by the Centre Manager and Operations Manager in a timely manner.
  • Liaise with service providers over invoicing queries and disputes.
  • Maintain financial spend trackers, to assist the management team to effectively monitor expenditure.


  • Coordinate occupier and Landlord maintenance visits, in conjunction with the Operations Manager.
  • Liaise with service providers, retail occupiers and the management team to update on outstanding issues.
  • Input meter readings on to relevant systems.
  • Facilitate payment of utility invoices and relevant re-charges.
  • Facilitate change of tenancy process as occupiers move in or out.
  • Attend site meetings as necessary and produce minutes and agendas.
  • Assist with site health and safety platform, including loading on statutory compliance documentation, creation and closure of health and safety tasks and facilitation of annual PPM planner.
  • Assist with processing and administration relating to insurance claims.


  • Compile reports, as directed by the management team.
  • Maintain and be responsible for record-keeping, as directed by the management team.
  • Maintain duty management rotas, to ensure management cover on site.
  • Printing and collation of data and reports, including but not limited to site log books, maintenance and statutory compliance, commercial information and client reports.
  • Coordinate diaries and meeting timetables as required.
  • Liaison with the management team, retail occupiers, service providers, and other stakeholders.
  • General administration duties, as directed by the management team.

Retail specific

  • Coordinate retail display cabinet booking schedule.
  • Assist with administration relating to marketing and events.
  • Collate retail trading information and performance data.
  • Track footfall figures and trends.
  • Act as the first point of contact for commercialisation enquiries, coordinate the commercialisation booking schedule, and liaise with commercialisation occupiers as necessary.


Property Outline:

Busy shopping centre with over 60 stores, including major national as well as small local independent stores and an annual footfall of over 6 million.

Communication Lines:

  • Ashdown Phillips & Partners – MD, Directors, surveyors, consultants, staff and FM Team
  • Retail occupiers – their consultants, fit-out agents and contractors.
  • Consultants – health and safety auditors, utility specialists, insurance inspectors, building surveyors.
  • Service providers – Contracts management and staff for security, M&E, cleaning and landscaping.

Person Specification

  • Experience of administration tasks

  • Strong communication skills, both written and verbal
  • Self-motivator with good attention to detail
  • Experience of basic clerical duties and office procedures
  • Good working knowledge of MS Office to a competent level within an office environment
  • Can do attitude
  • Flexibility and adaptability
  • Ability to learn new technology and systems/ processes


Security Officer - Full time
We are currently looking for an experienced security officer holding a current SIA License to provide permanent security here at the centre.

This position will include working permanent days, 43 hours per week

Your duties will include:

  • Excellent Customer Service skills
  • High vigilance to ensure a safe/secure working environment
  • Liaising with Centre Management
  • Dealing with incidents on site reporting to management
  • Have an understanding of health & safety
  • Patrolling internal and external areas
  • Have good report writing skills

Full uniform is provided (head to toe)

Must be punctual and have the ability to think on your feet.

You must have the following:

  • Appropriate & current SIA License – Door Supervision (frontline) is required
  • Excellent written and verbal communication skills
  • Strong observational skills
  • Good understanding of Security requirements/functions
  • Full 5-year checkable history
  • Experience dealing with an emergency situation
